Regarding room assignments, all of you can choose whether or not you want to room with an NPC or another person. You can discuss among yourselves who you want your characters to room with. Your character can later also request for room swaps as well.

So long as my chars avoid Gideon and company, I don't mind too much what their room assignments are.

You get to determine the room assignment. So you can choose to room with an NPC or another player. So if you don't want your characters near Gideon, feel free to make it that way. If in the future, you want your character to room with someone else, all they'll need to do is ask their teacher for the paperwork and then give it to them. Your character could also do it unofficially, if you and your desired roommate can find an empty room (which there should be plenty of).

Updated map to include the location of infirmary (oops). As stated in the main post, the staff there can treat normal wounds, but can't do things like regrow a limb.

Nah, feel free to interact with NPCs, The only ones you might need permission to interact with are the NPCs that Mattie_ are in charge of and perhaps the headmaster.

Alright, feel free to join whenever, no pressure. :) There are policies in place to incorporate people who are joining in the middle of the RP, so don't worry.

As for the food in the cafeteria, it is buffet-style, and you can find food from all sorts of places (this is an international school after all). There is also a counter where your character can go order a specific kind of food. You can all imagine that when answering the "One word that you need to survive" question, a lot of people have answered with 'food' or 'water'. So yes, the people operating at the counter are alumni of the school and can make any food appear.
