Definitely something to discuss with Cyrania when I get a moment. I'm a bit conscious about hard lines around posting limits, etc when I've seen life get in the way for a lot of people in previous roleplays who might've had the chance to keep going if their situation was attended to more directly than adhering to a hard and fast rule.

I think there's definitely a case-by-case approach within the hard and fast limits. I've definitely seen too many people equally abuse a lenient GM and then basically camp on a character someone else might have wanted a go at, than I've seen hard posting limits drive away otherwise participating players.

Ultimately, you'll need to do what works best for you as a GM, both in what you and your Co-GM are comfortable with enforcing, but also what you both can demonstrate by leading through posting. So if you need more leniency in your own posting rate, then it's understandable that you're not going to put down a limit you yourself can't keep to.

Just to let everyone know we have begun to PM players who have been inactive for a long time (Over the 2 week limit) in an effort to free up any characters that aren't being used. If anyone has any contact with these players and knows they want to leave/remain could you let the GM team know?

I aim to maybe do a small recruitment drive through a new interest check sometime after we clean up the character roster, so it would be good to have a list at a glance we can provide of who is actually free and not.

What exactly does this process look like?

I know from GMing in the past that, oftentimes, you reach out to someone, they panic and promise a post, or you don't hear from them at all. What does your absolute cut-off look like in either of these situations?

Might I also suggest amending the rules to include such a cut-off?

Players are expected to post at least once evdery two weeks. Should players go beyond two weeks without posting, the character will be considered inactive. Should the player ask for an extension prior to the two weeks, an additional week will be granted. Three weeks of no contact, however, will lead to the character being removed from the roster and open to new applicants.

Example Rule

Updating the rules would save you a lot of footwork in the long run, and it also puts the onus on the players themselves rather than you having to chase after them. That said, it might be worth choosing a day of the week and posting a 'gentle poke' to any player over the week mark between posts at that time.

Because I am an absolutely anal GM, I keep spreadsheets of data for the RPs I GM and track things like last posted date, number of posts etc. By no means am I saying you need to adapt all of this, just sort of illustrating what works for me.
